Scheduling

Scheduling (aka calendaring) is probably the easiest automation project you can do. Implementing calendaring software will help you:

  • Bring all your appointments into one calendar

  • Save effort in sending numerous back-and-forth emails to set up your meetings

  • Avoid calendar conflicts and missing deadlines

If you have Practice Management system, it likely already offers this functionality (or allows an integration) and with minimum setup you can start using it right away. If you do not have one, many inexpensive solutions are readily available (e.g., Calendly, Calendar.com, Acuity, Doodle).

Examples of more advanced scheduling automation ideas:

  • If your practice involves paid consultations, most calendaring systems will allow you to collect the payment when your client schedules the consultation, avoiding the need to send the invoice and chase the payment later.

  • Implementing calendaring software will also provide you with ability to initiate automation workflows when your meetings are scheduled. For example, you can send out an appropriate intake form once your client set up the next meeting.
